1. Overview

#Balance Pty Ltd delivers immersive, ethically-sourced retreats and programs in Australia and Thailand. By registering or participating in any of our events, retreats, or programs—whether in-person or online—you agree to the following Terms and Conditions. These terms apply to all participants, guests, and associated parties.

 

2. Eligibility and Participant Responsibilities

  • Programs are open to participants aged 12 and over, with age-specific programs available (e.g., youth leadership, adult-only retreats, or mixed family groups).

  • All participants must be physically and mentally fit to engage in scheduled activities, which may include martial arts, hiking, swimming, rafting, team-building tasks, and other physical or emotionally intensive experiences.

  • You must disclose any pre-existing medical or psychological conditions that may impact your ability to participate safely.

  • Some programs have specific pairing or group structures (e.g., parent-child retreats). Please read each program’s eligibility requirements carefully.

 

3. Program Variation and Force Majeure

We reserve the right to modify, postpone, substitute, or cancel elements of any program for reasons including but not limited to:

  • Inclement weather or environmental hazards;

  • Illness, injury, or unavailability of facilitators;

  • Transportation delays or infrastructure issues;

  • Political instability, pandemics, or other force majeure events.

We will always endeavour to preserve the intention, integrity, and value of the program through suitable substitutions.

 

4. Travel and Insurance Requirements

  • For international events (especially those hosted in Thailand), comprehensive travel insurance is mandatory.

  • This insurance must include coverage for:

    • Medical emergencies and evacuation

    • Trip interruption or cancellation

    • Personal property loss

    • Sporting and adventure activity participation

Proof of valid insurance must be provided at least 30 days prior to program commencement. Attendance without this documentation will be denied without refund.

 

5. Payment, Cancellations & Refunds

  • Full payment is required to secure a place in any program.

  •  Cancellations made more than 90 days before the program start date may be eligible for a refund, minus a non-refundable AUD $250 administrative fee, and subject to the refund and cancellation policies of third-party providers (e.g. hotels, transport, activity partners) where prepayments have been made on your behalf.

  • Cancellations within 90 days of the program start date are non-refundable except under exceptional circumstances at the sole discretion of #Balance.

  • If #Balance cancels a program, full refunds will be provided for program fees only (not flights, visas, or third-party bookings).

  • Program spots are not transferable without prior written approval.

 

6. Risk Acknowledgement and Liability Waiver

Participation in #Balance programming involves physical exertion, travel, and emotional engagement. By enrolling, you accept:

  • The inherent risks associated with travel and physical activity;

  • That #Balance, its directors, contractors, and facilitators are not liable for injury, illness, delays, or loss of personal property;

  • That all participants must sign a Waiver of Liability and Assumption of Risk prior to the event.

Failure to sign the waiver will result in program ineligibility without refund.

 

7. Media Consent

  • We may photograph, film, or record aspects of the retreat for future promotional, educational, or internal use.

  • If you do not consent to being included in this media, you must notify us in writing within 7 days of purchasing a ticket.

 

8. Code of Conduct

To foster a safe and supportive experience, all participants agree to:

  • Treat others with respect and maintain confidentiality of shared experiences;

  • Follow all instructions from program facilitators and support staff;

  • Abstain from drugs or alcohol during program hours and activities;

  • Maintain appropriate conduct that upholds the intention and tone of the event.

Participants who breach these terms may be asked to leave the program without refund or recourse.

 

9. Privacy Policy

All personal information collected is stored securely and handled in accordance with Australian privacy law. We do not share your personal information with third parties except where required to deliver services (e.g., hotels, transportation, insurance verification) or by law.

 

10. Jurisdiction

  • This agreement is governed by the laws of Queensland, Australia.

  • Any disputes arising from international programs will also be subject to the local laws of the Kingdom of Thailand where applicable.
